HOME CARE OFFICE COORDINATOR

Partners in Healthcare is currently accepting resumes for an Office Coordinator position. The hours for the position are Monday—Friday from 8:30am to 5:00pm.

The Home Care Office Coordinator performs various functions to ensure that caregivers carry out their different roles and assignments efficiently while providing the Service Plan. The Home Care Office Coordinator also ensures that the client's needs are met appropriately and adequately. Also performs secretarial duties and procedures to work collegiately with the Wellness Nurse.
Essential Duties and Responsibilities:
- Create and maintain schedules for caregiver staff.
- Arrange or organize schedules for both clients and staff.
- Reach out to staff and clients concerning schedule changes.
- Ensure scheduling systems are accurate and properly maintained.
- Build professional relationships with staff, clients, and family to ensure excellent service delivery.
- Perform maintenance of all statistics and reports that have to do with clients and staff, including keeping track of caregiver’s Time Off Requests.
- Responsible for properly entering client and staff information into a database and updating it regularly.
- Maintain client charts in organized form per agency’s guidelines and proper storage.
- Responsible for onboarding and orientation of new staff.
- Ability to file and maintain the integrity of office and clients’ records.
- Answer calls and provide factual information about Partners in Healthcare according to the nature of the questions within the guidelines and regulations of the agency.
- Monitor faxes and referrals, coordinate with Home Care Manager, and constantly update PIH Referral Log.
- Perform office functions and ensure all office equipment, such as telephone, copy machine, and fax machine, work properly.
- Participate in on-call duty.
- Participate in medication reminders and cover shifts as needed.
Other Requirements:
- Ability to assist Home Care Manager as needed to perform supervisory visits.
- Assist in taking vitals and other CNA/MA duties under the direction of the Manager/Wellness Nurse.
- Report pertinent information to Directors in a timely manner.
- Understand and maintain client and staff confidentiality and comply with HIPAA laws.
- Understand and maintain open lines of professional communication.
- Ability to take direction and respond appropriately to constructive criticism.
- Complete assignments in a timely manner.
- Adhere to policies and procedures of Bethany Methodist Corporation.
- Other duties as assigned.
Qualifications:
- Must be an active Certified Nurse Assistant (CNA) or Medical Assistant.
- Must possess excellent communication skills and demonstrate appropriate phone etiquette.
- Must have good interpersonal skills and be an outstanding team player.
- Must be able to multi-task and display an incredible level of flexibility.
- Must be proficient with computer skills. Knowledge of CareSmartz360 or other home care software is a plus.
- With good knowledge and understanding of customer care ethics.
- Must possess good coordination and analytical abilities.
- Must have a keen eye for details to avoid and/or rectify conflicting schedules.
- Experience in a customer service role or healthcare office is an added advantage.

HOUSEKEEPER

Chestnut Square at The Glen is currently seeking qualified candidates for a full-time housekeeping position. The hours for the position are Monday to Friday from 8:00am—4:30pm.
Main Responsibilities:
- Clean all common areas, offices, and rooms by sweeping, vacuuming, mopping, scrubbing, and polishing.
- Empty and sanitize trash containers.
- Resupply paper dispensers.
- Move, rearrange, and dust furniture and fixtures.
- Wipe and polish exterior apartment doors, polish doorknobs and other fixtures.
- Vacuum the dining room and wipe tables and chairs.
- Mix and blend cleaning solutions to proper concentrations for each task.
- Clean and polish all entryway and lobby glass, doors and furniture; vacuum and mop entryway floor as needed; dust drapes and mini blinds as needed.
- Buff and polish highly visible and heavily used areas needing extra attention as needed.
- Water plants.
- Perform and assist in other assignments as needed, directed by the Maintenance Manager.
Requirements:
- Attend and participate in all staff meetings and keep information confidential as appropriate.
- Maintain a team approach toward all staff and be a strong team member as part of the facilities department.
- Develop good working relationships with all employees.
- Ability to understand and relate well to senior adults.
- Support the mission of Bethany Methodist by establishing positive relationships with residents, co-workers, managers and guests.
Working Conditions:
- Exposure to chemicals and cleaning solvents.
